Age Restriction

All exhibitor personnel entering the show floor must be 18 years of age or older. No one under the age of 18 years old will be allowed on the show floor at any time, including move-in, show days, and move-out. For all evening events held at HLTH, everyone must be 21 years of age or older to attend.

Balloons

At no time are exhibitors allowed to bring helium balloons into the facility.


Booth Approval

All exhibitors with a custom booth 10’x20’ (200 sq ft) or larger who plan to build out their space must submit booth plans for approval. Please send a scaled drawing (PDF or CAD) to HLTH Show Management at sponsors@hlth.com by Friday, October 9.

Submissions must include (if applicable):

  • Floor plan: overall booth dimensions; locations of walls, structures, platforms (with height), major features, large exhibits, and internal walkways.
  • Booth location & orientation: position within the exhibit hall and sides open to aisles.
  • Elevations: front, side, and rear views showing overall height and dimensions of all structures (including staircases or framework if applicable).
  • Materials specification: materials used for structures, flooring, finishes, and any glass elements.

This is a mandatory requirement. Booths without approved plans prior to move-in may experience delays in construction and restrictions on unapproved elements.


Booth Height Restrictions & Line of Sight

All 10x20 in-line booths will be set with 7.79 ft x 5 ft side panels with clear plexi-glass that CANNOT be removed. Sponsor-provided side panels are allowed for 10x20 in-line booths on space only builds but must not exceed 5 ft wide x 3 ft high.

All branding must face inward, not outward toward neighboring booths. Non-compliant elements may be modified or removed onsite at the sponsor’s expense. Removal of side walls is only permitted for booths located on an aisle and must be approved in advance by HLTH show management.

Booths that are 400 sq feet (20’x20’) and larger and have aisles on all four sides (island booths) are permitted to a max height restriction of 20’ high, measuring from the floor to the top of the booth structure or hanging sign.

All booth displays and business activities must remain within your designated booth space and comply with HLTH’s exhibitor booth height restrictions. They should also be arranged to avoid obstructing neighboring exhibitors’ sightlines. Failure to comply may result in HLTH removing the obstructing items.


Branding Guidelines

HLTH 2026 Branding Guidelines can be found here. Official HLTH 2026 logos are available for sponsors and attendees to use in promotional materials. However, any use of the HLTH logo on vehicles, mobile activations, or other large-scale branded displays must be approved in advance by show management, especially if it is not part of an official sponsorship.


Business Service Center

The Exhibit & Business Service Center is an on-site location for ordering all technical and Show Cleaning services. Located in The Venetian Expo's lower lobby, a variety of convenient business support services are also available. Operating hours are tailored to move-in, show days, and move-out schedules, and our expert staff is prepared to assist with any business needs that arise during your event. Cartload Service

Cartload Service is available during move-in and move-out to help exhibitors with small loads delivered in privately owned vehicles (POVs), such as cars, pickup trucks, passenger vans, taxis, or limousines. Each cartload may include up to 8 pieces with a combined weight of 300 lbs or less. T3 Expo will provide one laborer and one cart, and each exhibitor may make up to two trips between their vehicle and booth during move-in and move-out.


Vehicles must be unloaded and loaded by exhibitor personnel by hand, and two people must accompany the vehicle—one to go with the materials to the booth and one to move the vehicle to parking after unloading. Box trucks, bobtails, or vehicles with trailers are not considered POVs and will be charged standard material handling rates. Any loads exceeding the cartload limits will also be subject to standard material handling charges.

Material Handling charges will apply to any loads greater than the limits listed above.

Donation Program

As part of the Green Meetings initiative, The Venetian Expo manages an extensive donation program that supports a number of charitable organizations. Exhibitors have the opportunity to impact the local community via unused event materials that are eligible for donation. Please email lv_sustainability@venetianlasvegas.com if interested in donating leftover booth inventory (i.e., samples, furniture, etc.). More information can be found in The Venetian exhibitor success guide.


Dress Code

During move-in and move-out, closed-toe shoes must be worn at all times in the exhibit hall and docks. No open-toed footwear, sandals, or flip-flops allowed.

During show hours, exhibitor personnel must be dressed appropriately and confine their activities on behalf of the exhibitor to their space. The dress code is business casual.


Drones

Drones will need to be pre-approved by the venue and the fire marshal. The following is needed by The Venetian pre-show:

  • Drone Details: Please provide the make, model, and a description of how the drone will be operated, including the name of the operator.
  • Certificate of Insurance (COI): A COI must be submitted from the operating company, naming both The Venetian and HLTH Inc. as additionally insured and holding them harmless from any loss, liability, or expenses (specific language will be provided upon approval to move forward).
  • Operational Guidelines:
    • The drone must not be free-flying.
    • It must remain within a dedicated, clearly defined activation space.
    • The area must be fully netted—netting is to be provided by the sponsor.
  • Floorplan Placement: The drone demo area must be marked and approved on the official floorplan.

Emergency Procedures (at the Venetian)

  • In the event of an alarm activation, audible and visual alarms will activate. This is not a signal to evacuate the building.
  • An announcement will be made stating the nature of the alarm is being investigated.
  • Once the nature of the alarm is determined, further instructions will be communicated.
  • In the event the alarm poses no danger, an “all clear” will be announced.
  • Should evacuation be necessary, it will be communicated via the Life Safety System.

Emergency Equipment

  • The Venetian Expo is equipped with a state-of-the-art Life Safety System.
  • The facility is equipped with an alarm system and sprinkler system that activate by heat-sensitive devices and smoke detectors in the ventilation system.
  • Fire extinguishers and other emergency equipment are strategically located in all areas of the building. The Resort’s Fire Command Center continually monitors all building emergency systems throughout the facility.
  • Automatic External Defibrillators (AED) are strategically located throughout the facility. Please notify Security if an AED is used.

EMT Services

Should the need arise, the Resort has an EMT team on duty 24 hours a day, seven days a week. There is a First Aid office, located in The Venetian Expo lower lobby, at the end of the 200 Hallway.

In the event of an emergency, please report to the nearest member of the security team, or notify the show management office.

Exhibitor Appointed Contractor (EAC) (Only Applicable for Space Only Booths)

To receive booth build clearance for HLTH USA 2026, exhibitors and their appointed contractors must submit all required booth plans and insurance documentation to show management. They are also responsible for ordering all necessary services (including electricity, dedicated internet, carpeting, rigging, etc.) and ensuring that the booth’s design and construction comply with all show and venue regulations.

Exhibitor Booth Floor Covering

Exhibitors are responsible for providing or arranging their own carpet/floor coverings for all custom booths. Carpeting/floor covering may be ordered through T3 Expo.

Note: Turnkey booth packages, viosks, pavilions, startup kiosks, meeting pods, and meeting cubes all come with standard carpeting.

Fire Regulations

All exhibitors must comply with Fire Regulations and safety rules as outlined below.

United States Fire Department Regulations For Exhibits, Exhibitions, Displays and Trade Shows – Public & Private

Booth Construction

Booths, platforms, and space dividers shall be of materials that are flame-retardant or rendered so, satisfactory to the Fire Department representatives. Coverings for counters or tables used within or as a part of the booth shall be flame-retardant. All electrical wiring and apparatus will be of a 3-wire UL approved type.

Fire Department

A permit shall be required for the following:

  1. Display and operate any heater, barbecue, heat-producing or open flame device, candles, lamps, lanterns, torches, etc.
  2. Display or operate any electrical, mechanical, or chemical device which may be deemed hazardous by the Fire Department.
  3. Use or storage of inflammable liquids and dangerous chemicals.
  4. Display any internal combustion engine (special requirements available upon request).
  5. Use of compressed gases. (Permit available for 32CF bottles that are half full or less).

Obstructions

Aisles and exits, as designated on approved show plans, shall be kept clean, clear and free of obstacles. Booth construction shall be substantial and fixed in position in specified areas for the duration of the show. Easels, signs, etc., shall not be placed beyond the booth area into aisles. Firefighting equipment shall be provided and maintained in accessible, easily seen locations and may be required to be posted with designating signs.

Fire-Retardant Treatment

All decorations, drapes, signs, banners, acoustical materials, cotton, paper, hay straw, moss, split bamboo, plastic cloth, and similar materials shall be flame-retardant to the satisfaction of the Fire Department. Booth identification banners and signs shall be flame-retardant unless smaller than 1232 square inches (28" x 44") if separated from other combustibles by a minimum of 12" horizontally and 24" vertically. Oilcloth, tarpaper, nylon and certain other plastic materials cannot be made flame-retardant, and their use is prohibited.

Combustibles

Literature on display shall be limited to reasonable quantities (one-day supply). Reserve supplies shall be kept in closed containers and stored in a neat and compact manner in a location approved by the Fire Department. All exhibit and display empty cartons must be stored in an approved drayage area. If show is under a 24-hour approved manned security program, automobiles are allowed to retain one gallon or less of fuel, and gas caps must be taped. Batteries are to be disconnected and taped.

Hand Carrying

Hand carrying by the exhibitor is only allowed if the item is easily hand-carried by one person without the use of any equipment, such as a hand truck/dolly.

If hand-carrying is possible for your freight, then you do not need to go through the marshalling yard, as you may carry it with you into the convention center.

Insurance Requirements

Booth Packages/Turnkeys, Meeting Pods, Meeting Cubes, and Kiosks:

  • HLTH provides required general liability insurance through our official vendor, Rainprotection. You will get sent a copy of your coverage before the show.
  • No Certificate of Insurance (COI) required.
  • Applies only to these exhibitors contracted directly with HLTH and T3 Expo and not using outside contractors.

10x20 Space-Only Booths (with Pre-Fixed Backwall):

  • If self-building or using a pop-up wall, HLTH provides required liability coverage.
  • If hiring an outside contractor, the contractor must submit a COI to HLTH before move-in.
  • No floor access will be granted without approved insurance documentation.

20x20 & Larger Custom/Raw Space Booths:

  • If using an Exhibitor Appointed Contractor (EAC) not working directly with T3 Expo, the EAC must provide a COI.
  • Insurance must be active from the first day of move-in through the final move-out.
  • No access to the exhibit floor without proof of required coverage.
  • Required coverage must:
    • Be issued by an insurer in good standing.
    • Meet minimum limits outlined on the following page.
    • Include Commercial General Liability, including Contractual Liability and Product Liability (if applicable).

Internet

Complimentary WiFi will be provided on the show floor and in HLTH meeting space, however, HLTH cannot guarantee uptime consistency throughout the duration of the event. We strongly recommend a dedicated internet connection if you intend to stream audio/video content or conduct live demonstrations/presentations within and around your exhibit. See your dedicated internet options through The Venetian, HERE.

Important: The use of external/outside routers is strictly prohibited as they can disrupt and interfere with the existing Wi-Fi connections.

Lighting

Overhead lighting is allowed; however, all lighting, fixtures, trusses, and overhead lights must remain within the boundaries of the exhibit space and must not create a distraction for neighboring exhibitors.

Exhibitors are prohibited from projecting logos onto the ceiling, aisles, facility walls, or adjacent booths. Additionally, spotlights may not be mounted to the ceiling outside the exhibitor’s designated space. HLTH reserves the right to remove or disable any lighting that does not comply with these guidelines. Any costs associated with this action will be the responsibility of the exhibitor.

Material Handling

Material handling charges apply to all shipments sent to or from the event. Exhibitors should carefully select their shipping carrier and review delivery policies, as some carriers may not deliver to loading docks or require delivery signatures, which can cause delays or additional fees.

Shipments are categorized as crated, uncrated, or small packages (1–50 lbs). Crated and uncrated shipments are charged $2.10 per pound, while small package shipments (50 lbs or less total) are charged $79 per shipment. Additional surcharges may apply for late warehouse arrivals, off-target deliveries, overtime handling, or shipments returned to the warehouse after the show.

Advance shipments can be sent to the T3 Expo warehouse beginning October 9, 2026, and direct shipments to the show site will be accepted starting November 14, 2026.

For outbound shipping, exhibitors must complete a Material Handling form at the T3 Expo Service Desk, and all carriers must check in by November 20, 2026 at 10:00 AM.

The HLTH 2026 Media List will be sent out on Monday, November 2nd.


Meeting Room Buildouts

Private meeting rooms that have custom buildouts must be approved. Renderings need to be sent to Da.Choi@venetianlasvegas.com and sponsors@hlth.com. An EAC form and COI must also be submitted through your sponsor portal task list no later than Friday, October 9.


The meeting room buildouts must be contained to the space inside the assigned room. Nothing is permitted to be built or placed outside the meeting room or in the hallway/public space. All buildouts must also adhere to the Venetian meeting room rules & regulations.


Mother's Room

We will have a Mother’s Room with private pods available for nursing mothers who need a comfortable and quiet space. The room will be equipped with seating and essential amenities to ensure privacy and convenience. The Mother's Room is located in Bassano 2605 on Level 2 of The Venetian Expo.


Multi-Level Booths

Multi-level exhibits require prior approval by show management. You MUST submit a floorplan to scale with heights/width indicated on each structure and hanging sign to HLTH show management (sponsors@hlth.com) for approval 60 days before move-in. More information can be found in The Venetian exhibitor success guide.


P 🍐

Parking

Covered handicapped and overnight parking is available at the Resort for a fee, allowing access to the hotel, casino areas, and The Venetian Expo. Limited oversized vehicle parking is available on the first level of The Venetian parking garage and may be accessed from either the Las Vegas Boulevard or Koval Lane entrances. Curbside loading and unloading are prohibited.


Power

Power is not included with custom/space only exhibit spaces (does not apply to turnkey packages). Power must be ordered separately from Event Service Electrical. All power cords must be confined to the Exhibitor’s space. Exhibitors are not permitted at any time to run power cords across or underneath the exhibit hall aisle carpet or any area outside of their allocated space.

The HLTH 2026 Media List will be sent out on Monday, November 2nd.


Promotional Materials/Activities

All promotional materials/activities must be confined to your booth and/or meeting space. Exhibitors are not permitted to distribute promotional materials in any areas outside of their allocated space without prior approval from HLTH.

Registration

Every attendee must be registered and is required to wear a HLTH badge in order to access any part of the HLTH event including sessions, meal functions, networking receptions, meeting rooms, and the show floor. Anyone who requires access to your booth during show hours must be registered for HLTH. Click HERE to register and purchase any additional passes that you need.


Rigging

As the exclusive provider of truss and motors, Encore utilizes XSF truss products and Columbus McKinnon motors. Encore houses certified, on-site, industry-trained professionals to assist with integration throughout your design process. Specialty equipment, if required, can be accommodated in many scenarios. Robots

The exhibitor will need to provide a Demonstration Area for this purpose. Products such as remote-controlled cars, drones, planes, helicopters, robots, etc., are to be demonstrated in a safely controlled area of the exhibit floor (e.g., Demonstration Area). The Demonstration Area must include safe netting appropriate to accommodate product(s) being demonstrated and must be included on the master floor plan submitted for Fire Marshal approval. The Venetian Convention & Expo Center reserves the right to determine what is acceptable in a safe and controlled Demonstration Area prior to final approval.

Sampling (food and non alcoholic beverages)

If you manufacture, process, or market the items, sampling will be permitted on the show floor, but approval must be obtained in advance. Sample sizes are restricted, and a hand washing station will be required. Health department fees may apply. Please contact the catering department at catering@venetianlasvegas.com to receive a copy of the Request to Distribute Samples form, which must be submitted no less than seven days prior to the show opening.

Selling Products or Services

Selling exhibited products or services will not be permitted. At no time may the exhibit or product display be altered to fulfill a transaction. No signage or advertising of product pricing will be allowed. HLTH reserves the right to prohibit the sale of any product for any reason.


Service Animals

The ADA defines a service animal as any guide dog, signal dog, or other animal individually trained to provide assistance to an individual with a disability. If they meet this definition, animals are considered service animals under the ADA, regardless of whether they have been licensed or certified by a state or local government.

The care or supervision of a service animal is solely the responsibility of their owner. The Venetian Resort and The Venetian Expo are not required to provide care, food, or a special location for the animal.

The Venetian Expo may exclude any animal, including a service animal, from our property when the animal’s behavior poses a direct threat to the health or safety of others. For more information regarding service animals, please view pg. 9 on the exhibitor success guide.

Signage

Hanging signs/banners are only allowed above booths that are 20’x20’ (400 square feet) or larger.

Please see the guidelines below for zone-specific hanging sign regulations.


Hanging signs/banners may not exceed the length of any side of your booth space or hang over the common aisle space. The top of any hanging banner may not exceed the maximum height restriction of 20’ high.

To facilitate exhibitor move-in, hanging signs MUST be shipped in advance to T3 Expo’s warehouse using the custom hanging sign labels found on the Access Times & Shipping page. Hanging signs will not be accepted onsite.

Exhibitors are not permitted to display signage in any areas outside of their allocated booth/meeting space without prior approval from HLTH. No outside decor or signage is allowed to be affixed to the physical kiosk structure. The use of pop-up banners is prohibited on the show floor and in the public space at all times.


Signage - AI Zone

Exhibitors in the AI Zone with booth spaces of 20’ x 20’ (400 sq. ft.) or larger are not permitted to rig or suspend any elements above their booths. This restriction ensures clear visibility of the Zone’s overhead signage, which features the logos of all participating sponsors. Suspended structures or signage may obstruct this shared branding element and are therefore not permitted.

Note: Exhibitors in the Diagnostics Zone with booth spaces of 20’ x 20’ (400 sq. ft.) or larger are permitted to rig or suspend elements above their booths.

Videography/Photography

If you wish to have your own videographer/ photographer onsite capturing activity on your booth, this is permitted, provided they are in possession of a valid HLTH pass. Please note that it is not permitted to film/ photograph away from your booth, or to capture HLTH content on the stages, etc.


Vehicles

Vehicles that are to be brought into the facility must be pre-approved by show management, The Venetian Resort Las Vegas, and The Venetian Expo. All require individual permits and Fire Marshall approval.  Exhibitors must abide by all display vehicle rules and regulations found in The Venetian exhibitor success guide.
