📣 Market Connect Programme: Sponsor Guide
Overview
Market Connect is HLTH Europe’s curated exclusive matchmaking programme. It connects vetted healthcare decision-makers (providers, payers and pharmaceutical companies) with sponsors through pre-scheduled 15 minute, 1:1 meetings.
The programme is based on a double opt-in model, where both sides must agree to meet. Meetings are arranged in advance via the platform, ensuring relevant and efficient conversations that deliver strong ROI.
Programme Schedule
All Market Connect meetings take place onsite during HLTH Europe in the dedicated Market Connect area.
Onsite meeting times (CEST):
- Tuesday, 16 June: 09:00–12:00 and 14:40–16:35
- Wednesday, 17 June: 09:00–12:00 and 14:00–16:00

The matchmaking platform launches in advance of the event. Programme Reps will receive login details via email. Please check your spam folder if needed.
Participants control their own calendars. Opening more time slots and actively sending requests will increase meeting volume.

Sponsor Onboarding
All primary sponsor contacts receive access to the Sponsor Portal to complete required information (company description, product categories, target audience, etc.).
This information is essential. It forms your profile in the matchmaking platform and directly impacts meeting success.
Each sponsor must assign at least one Programme Rep.
Who is a Programme Rep?
A Programme Rep is a registered HLTH Europe attendee responsible for:
- Managing your company’s programme participation
- Sending and accepting meeting requests
- Attending onsite meetings
Programme Reps must be registered for HLTH Europe before they can be assigned. Read more on how to assign them here.
Recommended number of Programme Reps:
- 5 meetings: 1 Rep
- 10–20 meetings: 1–2 Reps
- 25–30 meetings: up to 3 Reps
- 30+ meetings: up to 4 Reps
We recommend assigning senior, relevant team members. Avoid assigning too many reps, as this reduces efficiency.

Rules of Conduct
Participant data is confidential and must not be:
- Shared outside your organisation
- Downloaded or stored externally
- Used outside the programme
Sponsors must not contact participants outside the platform (e.g. LinkedIn, email, phone, or onsite outreach).
All meetings must:
- Be scheduled within the platform
- Take place in the designated Market Connect area
Violations may result in removal from the programme and exclusion from future events.

Purchasing Additional Meetings
Regardless of the total number of meeting requests received, you will not be able to schedule more than the number of meetings purchased

Meeting Tips and Best Practices
Before the event

Align internally
Make sure all Programme Reps know your priority segments and goals. Avoid overlapping or inconsistent messaging. You will have access to the platform two days earlier than buyers.

Be selective with requests
Do not send generic requests. Prioritise profiles that clearly match your use case.
During matchmaking

Personalise outreach
Include a short message with each request. Reference something specific such as role, organisation or stated needs.This increases acceptance.

Keep your availability open
More availability increases your chances of securing relevant meetings.

Respond quickly
Good buyers get booked fast. Delays mean missed opportunities.

Monitor your pipeline frequently
Track accepted, pending, and declined requests. Adjust targeting if needed.
Onsite
- Arrive 5 minutes early
- Meetings last 15 minutes, followed by a 5-minute break
- No check-in required, go directly to your assigned table
- Late arrivals (5+ minutes) may be marked as no-shows
During meetings

Be prepared
Many participants may not be familiar with your company. Use the platform insights to review their role, organisation, needs and any open projects in advance.

Understand the buyer’s priorities and challenges before presenting your solution.

Clearly explain your offering
Focus on the problem you solve and how it is relevant to their needs.

Keep it concise
15 minutes goes quickly. Focus on one clear message rather than a full pitch.

Use supporting materials if helpful
Bring a short deck, visuals or examples that help explain your solution.

Adapt in real time
Adjust the conversation based on relevance and interest.

Leave time for questions
Ensure there is space for discussion.

Agree next steps
Define clear follow-up actions before the meeting ends.

After meetings

Rate and review meetings in the platform
Provide a short summary after each meeting.

Follow up within 48 hours
Speed matters. Delayed follow-ups reduce conversion.
Common mistakes to avoid
- Assigning junior reps to senior buyers
- Overloading reps with too many meetings
- Treating meetings as demos instead of conversations
- Not following up quickly
Meeting Credit Policy
Meetings depend on mutual interest and availability. We cannot guarantee all purchased meetings will be fulfilled.
To maximise outcomes:
- Send at least 4x more requests than your target meetings
- Start early and remain active throughout
Unfulfilled meetings may be eligible for credit towards future events, subject to review.
To request a credit transfer, email connect@europe.hlth.com within 30 days after HLTH Europe 2026. Requests will not be processed after 17 July 2026. Any HLTH Europe 2026 credits must be applied and used for a future sponsorship at one of the following events: HLTH USA 2026, ViVE 2027 or HLTH Europe 2027.
