Meeting Room Build Guidelines
If you have purchased a private meeting room at HLTH USA 2025, you will be allocated a designated meeting room on Level 2 of the Venetian to build out your meeting room.
You or your contractor are responsible for ordering all services (electricity, internet, A/V, floral, furnishings, etc.) and ensuring the room's design and construction comply with all venue and show regulations.
📐 Please note the following venue & show regulations:
- Diagram & Rendering Requirements:
- All diagrams and renderings must be submitted for review by both Venetian and HLTH show management.
- Submissions must include clear dimensions and indicate the placement of all walls, equipment, and furniture.
- Maximum Height Limits:
- Bassano Meeting Rooms: 8' h
- Veronese, Titian, and Bellini Meeting Rooms: 14' h
- Placement Requirements:
- All buildouts must be positioned at least 2 feet away from all walls.
- Items such as furniture, structures, or signage must remain within your contracted meeting room space. Placement in hallways or public areas is strictly prohibited.
- Fire Safety Compliance:
- Fire extinguishers, strobes, and fire alarm pull stations must remain fully visible and accessible at all times.
- Light control pockets and exit signage may not be obstructed under any circumstances.
- Other Regulations:
- Carpet-over-carpet installation must adhere to venue guidelines.
- No materials may be affixed or hung on the meeting room/facility walls.
🛠️ Outside contractors:
If your company plans to bring in the services of any independent contractors other than T3 Expo, you must complete and submit the form, room plan/rendering and the contractor's Certificate of Insurance through your sponsor portal task list no later than Friday, September 5.

This is a mandatory safety & security requirement to permit contractor access to your meeting room during move-in and move-out. Contractors who arrive on-site and have not been registered will be required to provide this information, including their Certificate of Insurance (COI), before they are permitted access. This may lead to delays in your room being built out or access being refused if they cannot produce the documents required.
