Custom / Space-Only Build Regulations

If you have purchased a custom/space-only booth at HLTH 2025, you will be allocated a designated area on the show floor to build your booth.

You or your contractor are responsible for ordering all services (electricity, internet, carpeting, rigging, etc.) and ensuring the booth's design and construction comply with all venue and show regulations.

📐 As a minimum, you must provide:

  • Walling (minimum of 8 feet) to any closed sides
  • Flooring to complete booth space (you may also wish to consider a platform to avoid issues with trip hazards if you have extensive cabling) (Carpeting/floor covering may be ordered through T3 Expo.)
  • A method of displaying your stand number and company name

🗂️ In addition, please note the following show regulations:

  • All 10’x20’ inline booths have a maximum back wall height limitation of 8’ high and will be set with an 8’ h x 3’ w, clear plexiglass side panel that cannot be removed. No graphics are permitted on the side panels. Sidewalls cannot be removed if you have exhibitor booths on either side - the removal of side walls, if on an aisle, must be pre-approved by the HLTH show management.
  • The walling to any space only stands must be a minimum of 8 feet high and as standard and without prior approval, can be no more than 12 feet high, to include any platform.
  • Hanging signs may be rigged above stands at a maximum height of 20 feet to the top of the hanging sign.
  • No more than 1/3 of any open side may be walled in.
  • If you wish to wall in over 1/3 of an open side, walling should be made of translucent material or low height to ensure reasonable visibility for all exhibitors within the event space.
  • The reverse of walls over 8ft must be dressed in white down to the height of 8ft.
  • Booths that are 400 sq feet (20’x20’) and larger and have aisles on all four sides (island booths) are permitted to a max height restriction of 20’ high, measuring from the floor to the top of the booth structure or hanging sign
  • No graphics/ branding may be applied to the reverse of any party walling that overlooks neighboring stands.
  • Any branding facing your neighbor's stand (if you are back to back with another booth), must be stepped in by a minimum of 3 feet.
  • Your custom build, materials, and dressing items must comply with event rules and regulations.
  • Your custom build contractor must comply with EAC regulations and submit all required paperwork and documentation.
  • Single-use materials and designs are discouraged. Please consider the sustainability of your stand. As part of the stand plan approval process you will be asked to share information on the environmental impact of your build.
  • All stands should be fit for the purpose intended, structurally sound, and safe to build, use, and demount in the allocated timeframe, without any risks.
  • Power must be ordered separately from Event Service Electrical. All power cords must be confined to the Exhibitor’s space. Exhibitors are not permitted at any time to run power cords across or underneath the exhibit hall aisle carpet or any area outside of their allocated space.

To ensure the safety and compliance of all booths at the event, please submit the required information and documentation through your Sponsor Portal. Once your stand plan submission is approved, you will also need to provide your EAC form and Certificate of Insurance.

Please note that construction cannot begin until you have received confirmation of approval.

📃 Plan submission requirements:

  • A copy of the plan view, showing dimensions and positions of walling, features, major exhibits & demonstration areas. To include the height of any platform.
  • Plan showing the location (and orientation) of the stand within the exhibit hall.
  • Elevations with full dimensions, including full steelwork and staircase details (if applicable)
  • Width and position of walkways within the stand
  • Specification of materials used
  • A risk assessment (to include fire hazards) - see (optional) template here and guidance doc here

  • Onsite contact details for your stand builders/designers
  • Certificate of Insurance - see here for more details
  • Your plans should all include a reference of your stand name and stand number and be produced for this event, it is not permissible to submit information for past events.
  • Only once you have received your authorization to build form can your stand plan be considered approved. It is therefore advisable to submit plans as soon as possible. Please be aware that once the authorization form has been issued, any changes or amendments to the build will need to be re-submitted for approval.
  • If your stand is complex, in addition to the items listed left, you will also need to provide:
    • Structural calculations
    • Written confirmation from an independent structural engineer, with adequate professional indemnity cover, that the design is safe for its purpose

👷‍♀️EAC's

If your company plans to bring in the services of any independent contractors other than T3 Expo, you must complete and submit the EAC form and the EAC’s Certificate of Insurance through your sponsor portal task list no later than Wednesday, September 17.

This is a mandatory security requirement to permit EACs access to your booth during move-in and move-out. EACs who arrive onsite and have not been registered will be required to provide this information, including their Certificate of Insurance (COI) before they are permitted access. This may lead to delays in your booth being built or access refused if they cannot produce the documents required.

☔️ Insurance

For Exhibitors: As a benefit for sponsors, HLTH will provide liability insurance that fulfils all insurance requirements for HLTH 2025. This coverage is exclusively available to exhibitors who have a direct contract with HLTH and T3 Expo. Exhibitors who meet the above criteria are not required to submit their own compliant insurance.


However, if the exhibitor hires an outside Exhibitor Appointed Contractor (EAC) for any services used other than the in-house general contractor that HLTH uses, they must comply with the below liability request.


All Exhibitor Appointed Contractors (EACs) must maintain the following insurance from the first day of their move until the last day of their move out at HLTH. No access to the floor will be granted without insurance coverage.

As a standard requirement for all our show exhibitors, it is necessary for you to carry general liability coverage from an insurance company in good standing with minimum policy limits as stated below. Insurance coverage for Exhibitor Appointed Contractor is mandatory.

Such insurance shall include contractual liability and product liability covered with the following limits:

  • COMMERCIAL GENERAL LIABILITY INSURANCE (Occurrence Form) covering bodily injury, property damage, products, and completed operations, and personal and advertising injury with minimum limits of one million dollars ($1,000,000) per occurrence. This policy shall include contractual liability coverage applicable to the indemnities assumed hereunder. If the policy has a general aggregate limit, either the general aggregate shall apply separately to this project/location, or the general aggregate limit shall be two times (2X) the required occurrence limit.
  • WORKERS’ COMPENSATION INSURANCE with statutory limits as required by law and Employer’s Liability Insurance covering legal obligation to pay damages for bodily injury or occupational disease (including death) sustained by an employee with minimum limits of: $1,000,000 bodily injury by accident; $1,000,000 bodily injury by disease; $1,000,000 policy limit.
  • AUTOMOBILE LIABILITY INSURANCE covering loss arising out of the ownership, maintenance, operation, or use of any motor vehicle, whether owned, hired, or non-owned, with minimum limits of one million dollars ($1,000,000) per accident for bodily injury and property damage. Appropriate endorsements should be evidenced if hazardous waste is to be transported – ISO MCS 90 and CA 9948 (Broadened Pollution Liability Endorsement).
  • UMBRELLA/EXCESS LIABILITY INSURANCE policies must follow the form of the underlying primary policies (except Workers’ Compensation) with minimum limits of four million dollars ($4,000,000) per occurrence.
  • All required insurance policies shall name as Additional Insured, Venetian Las Vegas Gaming, LLC, Expo and Convention Center, LLC, Grand Canal Shops II, LLC (GCS) and The Shoppes at The Palazzo, LLC (SATP) and each of their parent subsidiaries and affiliates and each of their officers, directors, agents, and employees as respects the conduct of the named insured(s) in or about the property of Las Vegas Gaming, LLC, Expo and Convention Center, LLC, GCS, and SATP.
  • EACs must name HLTH, Inc. and T3 Expo, LLC as additional insured.
